1. Processing of Personal Data

Solumea as Data Controller

Solumea is the data controller for the personal data collected and processed when you use our services. This is because it is necessary for Solumea to collect data in order to provide these services to you as a user.

This policy applies to the use of all digital services provided by Solumea.

Purpose and Legal Basis for Processing

Your personal data is processed in order to fulfill the license terms and to satisfy Solumea's legitimate interests.

If you provide consent to participate in surveys, receive marketing, or other communications, Solumea will process your data in accordance with Article 6(1)(a) of the General Data Protection Regulation (consent).

In addition, Solumea processes the personal data provided by you or your employer for the purpose of fulfilling the agreement regarding the use of Solumea's products, pursuant to Article 6(1)(b) of the GDPR.

Solumea also processes data generated through your use of our services based on legitimate interests pursuant to Article 6(1)(f) of the GDPR. Such data is used to provide our services, for marketing purposes, to improve IT security, for communication, and for product development.

2. What Data Is Processed?

Information You Provide to Us

How we use your personal data depends on which services you use and how you use them. We use the data we have about you to provide, support, customize, and make our services available in a manner that is relevant and useful to you.

We use your registration information to verify your identity and allow access to our services.

We may communicate with you via email regarding service availability, security matters, or other communications relating to our services, such as instructions, updates, and reminders.

We use data to further develop our services in order to provide you and others with a better, more intuitive, and more personalized experience and to increase engagement with our services.

To continuously improve our business, we conduct ongoing surveys regarding our products, customer needs, and daily operations. You are not obligated to respond to surveys and may decide what information you provide to us.

We use data, which may include your communications with us, to investigate, respond to, and resolve complaints and issues concerning our services.

We use your information to produce aggregated datasets where it is no longer possible to identify you personally. For example, we may use your data to generate statistics about our users, their professions or industries, the number of advertisements delivered or clicked, or demographic distributions of website visitors.

We may use your data, including communications with us, if we consider it necessary for security purposes or to investigate potential fraud or other violations of our license terms, this privacy policy, or attempts to harm our users or visitors.

Information from Your Employer

Your employer may provide us with information so that you, as a user, can access Solumea's services. We may receive information regarding your work area, title, and contact details.

Use of Services

We record usage data when you visit or otherwise use our services, including websites, apps, and platforms, for example when you view or click on a document or perform a search. We use logins, cookies, device information, and Internet Protocol (IP) addresses to identify you and record your use of the services.

Cookies and Similar Technologies

We collect data using cookies and similar technologies. You can read more about how Solumea uses cookies and similar technologies below.

You may also control the use of cookies through your browser settings and other tools.

Your Device

We receive data from your devices and networks. When you access or leave our services, including plugins, cookies, or similar technologies on third-party websites, we receive the address of both the website you came from and the website you go to next. We also receive information regarding your IP address, proxy server, operating system, web browser and add-ons, device identifiers and capabilities, and/or internet service provider.

Newsletters

Solumea offers several newsletters that you may voluntarily subscribe to and unsubscribe from at any time. Newsletters are sent via email.

We only send newsletters to you if you have actively consented or otherwise shown interest in our products.

Miscellaneous

Our services are dynamic, and we frequently launch new features that may require the collection of new information. If we collect new personal data or use your personal data for new purposes, we will notify you and amend this privacy policy accordingly.

3. Your Rights as a Data Subject

As a data subject, you have several rights that you may exercise by contacting us at the email address specified in Section 8 or by sending us a written request.

Your rights include the right to request access to the personal data we process about you and the right to receive a copy of such data.

In certain cases, you have the right to object to our processing of your personal data, request correction or deletion of personal data that you believe is incorrect, outdated, etc., or request restriction or deletion of the processing of your personal data.

You also have the right to data portability where the specific conditions under data protection legislation are met. Where technically feasible, you also have the right to have your personal data transferred to another data controller.

In certain situations, a request to exercise your rights may be restricted in accordance with applicable regulations, including where private interests outweigh your interests as a data subject.

If you have previously given Solumea consent to process your personal data, you may withdraw your consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal. If you withdraw your consent, the processing of your personal data will cease and your personal data will be deleted unless there is a legitimate or legal basis for retaining the data.

4. Data Retention

We store your personal data for up to eight years after the collaboration has ended, depending on the type of data involved and whether specific legislation requires retention of personal data.

As a general rule, user information is deleted as soon as an account is deleted unless special circumstances justify longer retention, see below.

Termination of Your Subscription

We will retain certain information even after your subscription has ended to the extent necessary to fulfill our legal obligations, including requests from public authorities, comply with laws and regulations, resolve disputes, maintain security, prevent fraud and abuse, or enforce our license terms.

5. Transfer of Data to Third Countries

Solumea uses suppliers and subcontractors to process and store personal data in order to provide our online services. Some of these suppliers and subcontractors are located in third countries or are legally affiliated with companies located in third countries.

Solumea strives to ensure that all processing of personal data takes place within the EU/EEA. If this is not possible, the necessary organizational and technical measures shall be implemented to ensure adequate protection of personal data. An example of such a measure may be anonymization.

6. Disclosure of Personal Data

As a general rule, Solumea does not disclose personal data to third parties unless this occurs as part of carrying out tasks on behalf of Solumea, including within affiliated group companies.

Such disclosure takes place on the basis of Article 6(1)(f) of the GDPR (legitimate interest).

Where necessary, appropriate data processing agreements are always entered into.

7. Amendments

If necessary, we may amend this privacy policy. The privacy policy applicable at any given time is available at Solumea.com.

If you do not wish to accept the amendments, you may terminate your access to the service in accordance with your subscription agreement.

Continued use of our services after publication of amendments constitutes acceptance of the updated privacy policy.
